What's included?
Every plan includes a public website, resident portal, dues and accounting, events, voting, documents, a member directory, reports, and an audit log. Neighborhood adds ARC, violations, maintenance, forms, newsletters, and the vendor portal; Estate adds multi-community management, vendor payouts once online payments are active, SAML SSO, and the API.
What can residents do in the portal?
Check their dues (and pay online once the community has online payments), RSVP to events, vote in elections, message neighbors, download documents, and file ARC and maintenance requests (Neighborhood and up). It all works from their phone, and boards switch each section on or off.
How does dues collection work?
Every plan tracks assessments, late fees, and payments on a real ledger, including checks and other payments the board records. Once online payments are active for your community, residents can also pay by card or bank (ACH/eCheck), with optional autopay; Stripe processes those as direct charges on the community's connected account, where proceeds settle. Commonwell takes a 0% platform cut; configured Stripe processing fees still apply.
What about accounting?
You get a general ledger with funds, journal entries, a trial balance, budget-vs-actual variance reporting, inter-fund transfers, reserve projections, bank reconciliation, accounts payable, and year-end 1099-NEC and 1120-H worksheets. Commonwell reports can always be downloaded as CSV; optional QuickBooks Online sync requires provider setup.
Is there a per-resident fee?
No. Every plan includes unlimited members for a flat monthly price of $39, $99, or $249. Email is a monthly allowance for announcements and newsletters (500, 3,000, or 15,000 emails); invitations to join don't count toward it, and a community that needs more moves up a plan. Tiers differ by features and included storage, email, SMS, domain, and community capacity; optional add-ons and payment-processing fees are separate.
Can we use our own domain?
Yes, on every plan, with managed SSL. Keep the domain at your current registrar and we handle the routing and the certificate.
What's Concierge?
An AI agent wired into your community. Ask how dues are looking and get a live answer, or tell it to record a payment, send an announcement, or schedule an event and confirm with one tap. Available on Neighborhood and Estate.
Can we migrate from another platform?
The built-in member-roster importer currently accepts PayHOA and HOA Express exports. For balances, documents, history, or another source, confirm the migration scope with sales before you plan a switch.
Do you handle architectural review and rule enforcement?
Yes, end to end on Neighborhood and Estate. Residents submit ARC requests with photos, boards approve or deny with one-click letters, and violations escalate automatically through your tiered fine schedule and notice templates, posting fines straight to the owner's ledger. Delinquent dues run through a staged collections workflow the same way.
Is there an API?
Yes, on Estate: REST endpoints, HMAC-signed webhooks for member, payment, and announcement events, and SAML single sign-on. Manage keys at /admin/developers.
Are the apps accessible?
Accessibility is an ongoing practice. We target WCAG 2.1 AA across the admin, resident, vendor, and public-site experiences, run automated accessibility checks, publish an accessibility statement, and provide a feedback channel. This is not a third-party conformance certification or a guarantee of legal compliance.
How do you handle security and our data?
Card entry is outsourced to our PCI DSS Level 1 payments provider, and Commonwell is designed for SAQ A scope; final classification and attestation depend on the deployment and compliance review. Data is encrypted in transit and at rest, and administrative and security-relevant events are audited. Residents can export their data and request deletion from their profile. Operational personal data is erased or anonymized; only minimum financial, tax, signed-consent, opt-out, security, and legal-claims records may remain for the applicable retention period. We never sell your data.
Can a management company run multiple communities?
Yes, on any plan: a community's owner or administrator sets up a management organization and can run up to 5 communities from one dashboard, each with its own plan, branded site, dues, accounting, and portal.
